Important Message re DHL Express Easy Doc Service

The following letter was provided to the CSCB by corporate member, DHL Express (Canada) Ltd. and relates to their “Easy Doc Service”.

In December of 2008, DHL Express Canada launched the new web site Easy Doc https://easydoc.dhl.ca that provides an easy to use service for brokers to view shipments assigned to them for LVS accounting and HVS clearances.

The site is designed with flexibility in mind; from this site, brokers are able to query shipments by criteria, search for shipments for clearance, print the documents, LVS consists and manifests and reject shipments back to DHL Express.

We provided a Login and Password to one “Master User” that could be set up for users at specific ports, or used nationally; depending on brokers preferred method of receiving documents from DHL Express Canada. The Master user could also delegate additional ID’s to access the same shipments.

When DHL assigns a shipment to a broker, we are doing so based on information we have in our systems. It’s important to remember that if a shipment has been advised to you in error, four actions must happen to rectify this:

  1. The shipment has to be kickback/rejected back to us by the incorrect broker.
  2. DHL removes accounting liability from the broker who was advised in error.
  3. DHL investigates the proper broker and we update our database for correct advisal in future.
  4. We advise the proper broker to acquit the shipment.

The above four steps are supported by an audit trail that absolves the original broker from accounting for the shipment. Unless the broker is properly absolved from accounting; under LVS rules, the broker would be held responsible by CBSA and could incur penalties.

Even though Easy Doc has been in use for over 2 years; DHL continues to receive kickbacks/rejected shipments from brokers via email, fax and by mail. These methods can go astray and do not remove the liability from the incorrect broker and complete the audit trail, absolving you from the accounting, however using Easy Doc for your kickback shipments does.

Effective May 2, 2011; DHL will “ONLY” utilize the Easy doc site for all manifest data transmission, and for rejected shipments.

Although most brokers already use our innovative service, for those that don’t; we strongly advise all brokers to get acquainted with this innovative service now – it’s simple, fast and easy!
